JOB TITLE: DOCUMENT CONTROLLER

KEY RESPONSIBILITIES:

  • Input and update information in document management systems or databases, ensuring accuracy and completeness of records.
  • Maintain and track different versions of documents, ensuring proper versioning and archiving of older versions.
  • Facilitate the distribution of documents to relevant stakeholders, teams, or departments, either electronically or in hard copy as required.
  • Ensure that documents adhere to company standards, guidelines, and templates. Check for consistency, formatting, and completeness.
  • Respond to requests for documents, locating and retrieving them from the document management system or archives as needed.
  • Adhere to regulatory requirements and company policies regarding document handling, confidentiality, and data security.
  • Generate reports on document management activities, such as tracking document status, usage statistics, and compliance metrics.
  • Maintain clear and effective communication with team members, managers, and stakeholders regarding document-related processes and updates.

KNOWLEDGE AND QUALIFICATIONS

  • Proficient in the use of MS office programs
  • Familiar with administrative processes involved in document control.
  • Previous working experience in a project document control position

  • Ability to meet deadlines and manage priorities.
  • Ability to work in a team.
  • Organizational skills with a strong attention to detail.
  • Ability to take initiative.
