The role will provide full, effective and timely support of the project’s administration and document control process via the project’s control or EDMS system.
The role will be working closely with the project, commercial, construction managers also with subcontractors and the design teams regarding the production and issuing of project documentation during the life cycle of the project in line with project’s protocols document.
Your responsibilities will include:
Providing quality and assurance (QA) check of all incoming documentation on the project EDMS.
Issuing of weekly QA rejection, request for information, client query reports to package contractors, design team, copying Mace package manager/project manager.
Controlling over key document processes and workflow management. Overseen by sector skill head, senior document controller, information manager, IMS consultant or line manager.
Coordinating the project protocols document.
Creating new users on the system as requested by management.
Managing user accounts for the project team and client members and liaising with the Aconex help desk for external members.
Providing procurement support, collating documents and downloading to the client system for distribution.
Contributing to corporate initiatives to develop service improvement and business efficiency.
Ensuring data security is maintained and adhered to according to data security procedures.
Providing weekly auditing of the EDMS looking for and correcting errors, rejected documents not re-uploaded and other anomalies within the system.
You have detailed knowledge and understanding of document control processes and procedures and experience of EDMS systems mainly Conject and Aconex. You have a good understanding of contract administration/NEC contracts in line with Mace Way.
You are digitally savvy especially in the use of MS Office. You can build a lasting relationship and will provide support to multi-disciplinary teams. You will have document management experience working in large major projects/programmes within a construction or consultancy background ideally and be keen to grow your career and enjoy the opportunities Mace has to offer.
